Privacy
Private events should stay private.
This notice explains what GentsDay collects, why it is needed, and the choices available to Hosts and guests.

1. Scope
This notice applies to the GentsDay website, Host workspace, private invitations, event rooms, recaps, and related communications. A Host chooses the people invited to an event and controls many event-specific visibility settings. GentsDay processes that information to provide the service.
2. Information we collect
Host account information
We collect a Host’s name, email address, authentication and session records, account preferences, and actions needed to secure and operate the account.
Event and invitation information
Hosts may provide event names, dates, places, schedules, attire, cost notes, access instructions, announcements, guest contact details, Host-only notes, and invitation delivery status. Each guest receives an opaque private invitation token; the service stores a protected representation rather than the usable token itself.
Guest responses and profiles
We collect RSVP status and history. Guests may also choose to add a display name, photograph, conversational introduction, “Ask me about” note, interests, notification preferences, and which confirmed guests they already know. Guest profile fields are optional unless clearly marked otherwise.
Media and recaps
Hosts and authorized guests may upload event documents, profile images, or recap photographs. We record information needed to authorize, display, curate, and remove those files, including the event, uploader, content type, privacy class, and upload time.
Operational information
We collect limited technical and product-usage records needed for security, abuse prevention, delivery troubleshooting, reliability, auditing, and understanding whether core event flows work. Normal application logs are designed to avoid names, invitation tokens, and private event details.
3. How information is used
We use information to:
- authenticate Hosts and maintain secure sessions;
- create private events and deliver individual invitations;
- record RSVPs, preferences, schedules, and announcements;
- help authorized Hosts prepare introductions and seating plans;
- send requested or operational event communications;
- provide calendars, event-day rooms, private recaps, and Crews;
- prevent abuse, investigate errors, and protect the service; and
- measure product use in a privacy-conscious, aggregated way.
We do not use private relationship information to create public profiles, sell advertising, or expose a relationship graph to guests.
4. How information is shared
Event information is shown according to the Host’s visibility settings. Authorized Hosts and Co-hosts can see the operational information needed to run their event. Guests see only the event and attendee details made available to them. Private relationship submissions and Host-only notes are not shown to other guests.
We use infrastructure and delivery providers to operate GentsDay, including Cloudflare for application hosting, data storage, media storage, security, and network delivery. A configured email provider may process email addresses and message delivery records. If a Host uses an external map, calendar, payment, or directions link, that third party handles the visit under its own terms.
We may disclose information when reasonably necessary to comply with law, protect a person’s safety, investigate misuse, or protect GentsDay’s legal rights. We do not sell personal information.
5. Invitations, cookies, and analytics
A private invitation link acts like a key to that guest’s event experience. Guests should not forward it. Hosts can revoke or rotate a link. Private event responses use restrictive referrer and indexing controls and are not intended to be cached publicly.
GentsDay uses essential cookies for Host authentication, security, and session continuity. Public marketing pages may use privacy-conscious performance measurement. Private invitation and event-room URLs are not sent to third-party advertising or analytics services.
6. Retention and deletion
We retain information while an account or event is active and as reasonably needed to provide recaps, opted-in Crews, security records, backups, dispute handling, and legal compliance. Different records may have different retention periods. We aim to avoid keeping invitation and operational delivery records longer than their purpose requires.
Hosts can remove a guest, revoke an invitation, delete media, export their own event data, or delete an event, subject to short-lived backups and records we must retain. Guests can update or delete their profile, mute nonessential event messages, remove their media where permitted, or leave a Crew.
7. Security
GentsDay uses access controls, event-scoped authorization, secure cookies, protected token storage, upload restrictions, rate limits, audit records, and other technical and organizational safeguards appropriate to a private event service. No online service can guarantee absolute security. Please report a suspected invitation or account compromise promptly.
8. Your choices and requests
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, or to object to certain uses. We may need to verify a request and consider the rights of other people in a shared event. Send privacy requests to privacy@gentsday.com.
9. Age, international use, and changes
GentsDay is intended for adults and is not directed to children under 18. Information may be processed in the United States and other places where our providers operate, subject to applicable safeguards. We may update this notice as the product changes. Material changes will be identified by a revised effective date and, when appropriate, an in-product notice.
